Privacy Policy

The General Data Protection Regulation (GDPR), which will apply from 25th May 2018, creates consistent data protection rules across Europe. It applies to companies that are based in the EU and global companies that process personal data about individuals in the EU.

 

1 Introduction

1.1 Contemporary Taste Ltd ta Knights Court Hotel (“we” or “us”) are a data controller of the personal information we receive from or collect about you. We are registered as a data controller with the Information Commissioner’s Office and our registration number is ZA205099.  We can be contacted at the following: 22 North Drive, Great Yarmouth, NR30 4EW
1.2 We are committed to protecting the privacy and security of your personal information.
1.3 This privacy notice describes how we collect and use personal information about you during and after your relationship with us.

 

2 The kind of information we hold about you

2.1 We will collect your personal contact details such as name, title, address, telephone number(s) and email address.
2.2 We may also collect details of any disabilities or other health issues that you have if we need them to administer your visit to our hotel.
2.3 We may also collect some information about you as you use our website (including your IP address), as described further in the ‘Cookies’ section below.
2.4 We will record CCTV footage of you when you visit our hotel.

 

3 How is your personal information collected?

3.1 We collect personal information about you when accommodation, dining or an event are booked with us, either using our website or by phone.  We may collect further information from you if you otherwise correspond with us by phone or email.
3.2 We will also collect your name and email address if you register to use the free wi-fi network at our hotel.
3.3 We will also collect information when you register to receive information, provide feedback or sign up for our newsletter on the Knights Court Hotel website or if you enter a competition or take part in an event.

 

4 How we will use information about you

4.1 We will collect, store, use and share information about you in order to administer our relationship with you as our customer and to manage our business more generally.

 

Information you provide to us

4.2 We will use this information to perform the contract we have entered into with you – i.e. to contact you (including as necessary to send you confirmation you have booked through us) and to verify your identity when you visit our hotel.
4.3 We may also use this information in other ways when it is in our legitimate interests to do so – i.e. so we can respond to your enquiries or to process your requests in relation to your information.  Where we don’t need (under applicable data protection law) to gain your express consent to send you marketing materials or other information about our hotel or events, we may do so again in order to achieve our legitimate interests.
4.4 We may also process the personal information that you provide to us in order to comply with our legal obligations, where we need to protect your interests (or someone else’s interests) or where it is needed in the public interest.
4.5 We may (in circumstances where we do not have another legal basis on which to do so) ask you to consent to us processing your information – e.g. when sending you marketing materials from time to.  If we do so, we will provide you with details of the information that we would like and the reason(s) we need it, so that you can consider whether you wish to consent.  As we will explain at the time we collect any such consent, you have the right to withdraw the consent you have provided at any time.
4.6 If you fail to provide certain information when requested, we may not be able to perform the contract we have entered into with you (such as selling you tickets), or we may be prevented from complying with our legal obligations (such as to ensure the health and safety of visitors to our hotel).
4.7 Please note that we may process your personal information without your knowledge or consent where this is required or permitted by law.

 

Information we collect from you

4.8 As described above, we may collect certain information from you when you use our site.  We will use this to ensure that content from our site is presented in the most effective manner for you and for your computer, making the site easier for you to use and providing you with access to all parts of the site.
4.9 We also use this information to measure or understand the effectiveness of advertising we serve to you and others, and to deliver relevant advertising to you.
4.10 We do not envisage that any decisions will be taken about you using automated means.  We will notify you in writing if this position changes.

 

5 Who we share data with

5.1 We will share your personal information with the following third parties where required by law, where it is necessary to administer the working relationship with you or where we have another legitimate interest in doing so.5.2 “Third parties” includes third-party service providers (including Online Travel Agencies such as Booking.com, Expedia, Hotels.com and other designated agents. We also work with third party agencies to administer payments made over the website.
5.3 Our third-party service providers and other entities in the group are required to take appropriate security measures to protect your personal information in line with our policies. We do not allow our third-party service providers to use your personal data for their own purposes. We only permit them to process your personal data for specified purposes and in accordance with our instructions.
5.4 We may share your personal information with other third parties, for example we may need to share your personal information with a regulator or otherwise to comply with the law.
5.5 We may share your data with, but not limited to, our preferred Debt Collection Agencies/Field Tracing Agents and Doorstop Collection Agents who have been instructed by our company to recover any unpaid debt owed to us by yourself.  This is all based on our Legitimate Interests.

 

6 How We Keep Your Information Safe

6.1 We protect your information with security measures under the laws that apply, and we meet international standards. We keep our computers, files and buildings secure. When you contact us to ask about your information, we will ask you to identify yourself. This is to help protect your information.

 

7 How Long We Keep Your Information

7.1 To meet our legal and regulatory obligations, we hold your information while you are a customer and for a period of time after that. We do not hold it for longer than necessary – currently we hold data for a period of 24 months however personal data may be kept for a longer period for archiving purposes in the public interest or for reasons of scientific or historical research, provided that appropriate technical and organisational measures are put in place (such as anonymisation, encryption, etc.).

 

8 Consent

8.1 Sometimes we need your consent to use your personal information. With direct marketing, for example, we need your consent to make you aware of products and services which may be of interest to you. We may do this by phone, post, email, text or through other digital media.
8.2 You have control of the marketing content delivered to you. If we ever contact you to get your feedback on ways to improve our hotels, offers and services, in all correspondence from us you will be given a clear and easy way to unsubscribe. More details in the section ‘Marketing Material’.

 

9 Marketing Material

9.1 Using the information you provide, we will from time to time contact you with or make available to you (directly or indirectly) information on offers of goods and services, brochures, new products, forthcoming events or competitions from our hotel. We will tailor the information you receive or see; this will enable us to make available to you more personalised and relevant communications. We will use innovative technologies and work with business partners to achieve this.9.2 We will contact you directly or through a third-party service provider regarding products or services you have signed up or purchased from us, such as necessary to deliver transactional or service-related communications. We will also contact you with offers for additional services we think you’ll find valuable if you give us consent, or where allowed based upon legitimate interests. You don’t need to provide consent as a condition to purchase our goods or services. These contacts may include:

  • Email
  • Text (SMS) messages
  • Telephone calls
  • Automated phone calls or text messages.

You may also update your subscription preferences with respect to receiving communications from us and/or our partners by unsubscribing or by contacting us directly.

10 Your Rights

10.1 Updating and correcting your personal details.
Removing consent: You can change your mind wherever you give us your consent, such as for direct marketing, or using your sensitive information.
10.2 Restricting and objecting: You have the right to restrict or object to us using your personal information or using automated decision making.
10.3 Deleting your information (your right to be forgotten). You can ask us to delete your personal information.
10.4 Moving your information (your right to Portability). Where possible we can share a digital copy of your information directly with you or another organisation.

When you contact us to ask about your information, we will ask you to identify yourself. This is to help protect your information.

 

11 Changes in our Privacy Policy.

11.1 We reserve the right to modify this Privacy Policy at any time. If we decide to change our Privacy Policy, we will post those changes to this Privacy Policy and any other places we deem appropriate, so that you are aware of what information we collect, how we use it, and under what circumstances, if any, we disclose it. If we make material changes to this Privacy Policy, we will notify you here or by means of a notice on our home page.
